Primary - School Administrator

Job Description

To provide efficient and effective administrative and clerical support to ensure the smooth day-to-day running of the school office. The role involves being a key point of contact for staff, pupils, parents/carers, and visitors, delivering a professional and welcoming service.

Key Responsibilities

Administration & Office Support

  • Provide general administrative support including typing, filing, photocopying, and data entry
  • Maintain accurate pupil records using the school’s management information system (e.g. SIMS/Arbor)
  • Support attendance monitoring, including daily registers and follow-up procedures
  • Assist with admissions, pupil data updates, and leavers processes
  • Maintain school databases and ensure compliance with GDPR

Reception & Communication

  • Act as the first point of contact for visitors, parents, and external agencies
  • Answer telephone and email enquiries in a professional and timely manner
  • Manage incoming and outgoing post
  • Ensure safeguarding and visitor procedures (e.g. signing in) are followed

Finance & Resources (if applicable)

  • Assist with basic finance tasks such as processing orders, invoices, and payments
  • Maintain stock of office supplies and place orders as required
  • Support the organisation of school events and trips

Organisation & Coordination

  • Maintain school calendars, meeting schedules, and appointments
  • Support the organisation of meetings, including preparing documents and taking minutes (where required)
  • Assist with school communications (letters, newsletters, website updates)

Teamwork & Professional Responsibilities

  • Work collaboratively with teaching and support staff
  • Maintain confidentiality at all times
  • Support the wider administration team as needed
  • Contribute to the smooth running of the school office

Person Specification

Essential

  • Previous administrative or clerical experience
  • Strong organisational and time-management skills
  • Excellent communication and interpersonal skills
  • Good ICT skills (e.g. Microsoft Office, email systems)
  • Ability to work independently and as part of a team
  • High level of accuracy and attention to detail
  • Understanding of confidentiality and data protection

Desirable

  • Experience working in a school or educational setting
  • Familiarity with school management systems (e.g. SIMS, Arbor)
  • Basic knowledge of school finance processes
  • Understanding of safeguarding procedures

Grade 5 Role Expectations

  • Undertake a range of administrative tasks with some responsibility and initiative
  • Work with minimal supervision within established procedures
  • Support key administrative processes that contribute to school operations
